# Archive Export

This page explains how to search archived conversations and export the results from the Archives page.

Archives Export helps users review previous conversations, search by specific filters, and download chat history for reporting, auditing, analysis, or internal follow-up.

### What is Archives Export?

Archives Export allows authorized users to export closed or archived conversations from LiveChat.

When conversations are closed manually or automatically, they are moved from the active **Chats** page to the **Archives** page.

From the Archives page, users can search, filter, review, and export archived conversations.

### Where to Find Archives

To access archived conversations:

1. Go to the **Archives** page from the LiveChat sidebar.
2. Use the available filters to search for the conversations you need.
3. Review the matching results.
4. Export the results if needed.

Access to Archives may depend on the permissions assigned by the admin from the Portal.

### Archive Filters

The Archives page allows users to filter archived chats based on different criteria.

Available filters may include:

* **Date**
* **Agent**
* **Department**
* **Tag**
* **Chat Status**
* **Mobile**
* **Chat content**

These filters help users find specific conversations instead of searching through all archived chats manually.

### How to Search Archived Conversations

To search archived conversations:

1. Go to the **Archives** page.
2. Select the filter you want to use.
3. Click **Add Filter**.
4. Enter or select the required filter value.
5. Review the conversations shown in the results.

Users can apply filters such as date, agent, department, tag, chat status, mobile number, or chat content depending on what they are looking for.

### How to Export Archived Conversations

To export archived conversations:

1. Go to the **Archives** page.
2. Apply the needed filters.
3. Review the conversations shown in the results.
4. Click the **Export** button.
5. The filtered results will be downloaded as an Excel file.

The export includes the chats that appear in the results after applying the selected filters.

The **Export** button appears only after applying filters and having at least one conversation displayed in the results. If the filter does not return any conversations, the export option may not be shown.

### What the Exported File Contains

The exported Archives file may include detailed message-level data for the conversations included in the results.

The exact columns may differ depending on the selected filters and available conversation data.

### Message-Level Export

The Archives export is usually message-level.

This means that one conversation may appear across multiple rows, where each row represents a message or event inside the conversation.

For example, the exported file may show:

* Customer messages
* Agent replies
* Bot messages
* Chatbot option menu messages
* Customer selections from chatbot options
* Evaluation messages and responses
* Media messages, if available
* Internal or system-related records, depending on the export

This structure helps users review the full conversation history step by step.

### Export Current Open Session

In addition to exporting archived conversations, users may also export the current open chat session from the **Chats** page.

This option can be useful when the user needs to:

* Share the conversation internally
* Escalate the case to another team
* Keep a record of the current interaction
* Review the active conversation outside LiveChat

The exported session includes the current conversation history based on the available chat data.

Access to export the current open session may depend on the user’s permissions.

### Using the Exported File

The exported Archives file can be used for:

* Reviewing previous customer conversations
* Auditing support interactions
* Checking chatbot conversation paths
* Reviewing customer replies and selected options
* Investigating complaints or escalations
* Analyzing conversation history
* Sharing conversation records internally when needed

### Important Notes

The export includes only the conversations shown in the Archives results after filters are applied.

The **Export** button in Archives appears only when the applied filters return at least one conversation.

Media files may appear as links in the export if they were included in the conversation.

Some media links may expire depending on the media storage and API limitations, so exported media links should be reviewed when needed.

Access to search, review, and export archived conversations depends on the permissions assigned by the admin from the Portal.

### Best Practices

When exporting archived conversations:

* Apply filters before exporting to keep the file focused.
* Use date filters when reviewing a specific period.
* Use mobile number filters when searching for one customer.
* Use agent or department filters when reviewing team activity.
* Use chat content filters when searching for a specific keyword or case.
* Review the exported file carefully because one conversation may appear across multiple rows.
* Store exported files securely because they may contain customer information and conversation history.

### When to Contact Support

Contact the support team if:

* The **Export** button is not available after applying a filter.
* The exported file is empty even though results appear in Archives.
* A required filter is not working as expected.
* The exported data does not include the expected conversations.
* Media links or message data need further review.
